Personal Action Plan (PAP): From Classroom Notes to Action. Turning Training into Measurable Improvement.

What Is the Personal Action Plan?

During every ITSM Academy course, each learner is given a Personal Action Plan (PAP). A simple worksheet used to capture:

  • Key insights from the class
  • Specific actions they want to take back to work
  • Opportunities to improve team practices or value streams
  • Obstacles or dependencies that may require leadership support

The PAP helps ensure training doesn’t stay in the classroom; rather, learners walk out with tangible items to improve.

Why the PAP Matters

Training has the highest impact when individuals and leaders work together to convert new knowledge into improved performance. The PAP helps organizations:

  • Identify common themes across learners
  • Prioritize quick wins and shared bottlenecks
  • Establish accountability for follow-through
  • Link training outcomes to value stream improvement
  • Maintain momentum after class ends

How Leaders Should Use PAPs

We recommend a simple, repeatable approach:

1. Collect PAPs from all learners
Gather copies of individual PAPs at the end of class or immediately afterward.

2. Look for patterns
Review responses as a group. Identify overlapping pain points, common “first actions,” and improvement opportunities that impact flow, speed, or experience.

3. Choose 2–3 team-level actions
Translate individual actions into a coordinated plan: what can we start improving now, who needs to be involved, and how will we measure progress?

4. Reinforce actions in daily work
Fold agreed-upon actions into stand-ups, team meetings, retrospectives, and performance discussions. This is how applied learning becomes continuous improvement.
